Interview and Film Content
During the production process, we capture audio, video, and photographic content featuring the individuals being filmed. This content may include personal stories, family history, names of family members, and other sensitive personal details shared during the interview.
Materials Provided by the Client
Clients may provide us with family photographs, documents, letters, or other personal materials to be incorporated into the film. These materials are handled with care and returned to the client upon project completion unless otherwise agreed upon.
Website and Communication Data
When you visit keepsake.film or communicate with us via email or scheduling tools, we may collect your IP address, browser type, pages visited, and information submitted through contact or scheduling forms.
2. How We Use Your Information
We use the information we collect to deliver and improve our services, including: communicating with you about your project; planning, producing, editing, and delivering your legacy film; processing payments and managing contracts through HoneyBook; returning family materials provided during production; improving our website and client experience; and sending follow-up communications related to your project. We do not use your personal information for any purpose unrelated to the services you have engaged us to provide. We never sell your information.
3. How We Protect Your Information
We take the security of your personal information seriously. All digital files, including raw footage, edited films, and client records, are stored on password-protected and encrypted devices. Physical materials provided by the client are stored securely during the production process and returned promptly upon completion. Payment information is processed through HoneyBook's secure platform and is never stored on our systems directly. Access to client information is limited to the individuals directly involved in producing your film.
4. Sharing of Information
We do not sell, rent, or trade your personal information to third parties. We may share limited information with trusted service providers who assist in delivering our services, including:
HoneyBook (client management, contracts, scheduling, and payment processing); cloud storage providers for secure backup of project files; and printing or production vendors involved in fulfilling physical deliverables.
Each of these providers is bound by their own privacy policies and data protection practices. We do not share the content of your legacy film with any third party without your explicit written consent.
5. Use of Film Content
Your legacy film is created for you and your family. We will never publish, distribute, or share your film publicly without your explicit written consent. If we wish to use any portion of your film for promotional purposes, such as a sample clip on our website or social media, we will request separate written permission and provide you with full approval rights over the specific content to be shared. You may decline this request at any time with no impact on your project or our services.
6. Retention of Information
We retain your personal information and project files for a reasonable period following the completion of your project to allow for any follow-up requests, additional copies, or future projects. Raw footage and working files are retained for up to [12/24 months] after final delivery, after which they are securely deleted unless you request an extension. Contact information and project records may be retained for business and legal purposes unless you request deletion.
